IRRIVO is operated by Watchmore Studios in Ghana. You can contact us about privacy at [email protected]. This policy covers the IRRIVO mobile app, its web application and the services that support them.
When an employer or other organization uses IRRIVO, it decides why it collects its workplace records and who should have access. Watchmore Studios provides the service and handles account, service-security and billing information for its own operational purposes. Contact your organization about its workplace monitoring and employment-record policies; contact us about your IRRIVO account or the service.
Information we handle
Account and profile information: your name, email address, sign-in identifiers, contact details, profile photo and account preferences that you provide.
Workplace information: organizations and teams you join, roles and permissions, schedules, shifts, attendance times, corrections, leave requests, shift swaps, approvals, memoranda, acknowledgements, feedback and related attachments. Financial or bank information may be included where your organization uses the corresponding features. Only submit information appropriate for the workplace task.
Personal planning information: private timetables, events and availability information that you enter. Availability or scheduling conflicts may be used by workplace features without requiring your organization to see the underlying personal-event description.
Location information: precise coordinates and location-permission status used by attendance and workplace geofencing. See the location section below.
Purchase information: subscription plan, provider, purchase or transaction identifiers, renewal and expiry information, payment status and applicable web billing details. Apple, Google or Paystack processes the payment through its own service. IRRIVO does not ask you to enter your full card number or card security code into an IRRIVO-managed form.
Service information: notification tokens, device and app information needed for delivery or troubleshooting, service logs and security information such as connection details processed by our infrastructure providers. We also receive information you send when you contact support.
How we use information
We use information to create and secure accounts, connect you with the correct organizations, provide schedules and attendance tools, process workplace requests and approvals, show reports and resolve synchronization problems.
We use billing information to verify purchases, maintain subscription access, prevent duplicate entitlements and support renewals, cancellations and payment enquiries. We use notification information to deliver requested or relevant service and workplace updates.
We process support and security information to investigate problems, prevent misuse and meet applicable obligations. We rely on the grounds permitted by applicable law, including providing the requested service, legitimate operational interests, legal obligations and consent where required. Organizations must establish an appropriate basis for their own workplace processing.
Location, camera, photos and notifications
When you use location-based attendance, IRRIVO checks your position against an authorized workplace boundary. While workplace monitoring is active and you are clocked in, location updates may continue when the app is not visible, depending on your device permissions and operating-system restrictions. Monitoring can produce attendance and geofence events visible to authorized organization users.
You can change location permissions in device settings. Denying or disabling permission may prevent location-dependent clock-in or monitoring from working. Your organization can explain its alternative attendance process. The in-app permission explanation should be read alongside this policy.
Camera, photo and file access is used when you choose features such as adding a profile photo, attaching a document or importing a schedule. The app uses on-device text-recognition tools for supported imports. Information you confirm for saving or sharing may then be synchronized with the service.
Push notifications use device notification services. You can disable notifications in device settings, although this may prevent reminders and workplace alerts from appearing.
Ask Shady
Ask Shady processes your question, relevant conversation context and IRRIVO records available to your account to produce answers about schedules, attendance and other supported topics. Its answers can be incomplete or incorrect; check the underlying records before making employment, pay or disciplinary decisions.
The implementation reviewed for this policy uses IRRIVO’s backend rules and calculations. This policy does not represent that your questions are sent to an external generative-AI provider. If that changes, we will update the relevant disclosures before introducing that processing.
Who may receive information
Authorized people in your organization can see workplace information according to their roles and permissions. Joining an organization makes relevant profile and membership information available for its workplace administration. Organization administrators control their own members and permissions.
Service providers process information needed to run IRRIVO. These include Supabase for hosted authentication, database and storage services; Google Firebase Cloud Messaging and Apple notification services for notifications; Apple and Google for native purchases; and Paystack for web payments. Support email is handled through the email service used by Watchmore Studios.
We may disclose information when required by law, to respond to valid legal requests, or where necessary to protect users and the service. We do not sell personal information or use workplace records for targeted advertising.
Storage and international processing
Information is stored on your device and, where a feature synchronizes or uploads it, in hosted service infrastructure. Our service providers may process information outside Ghana. Access and transfers must be handled using the safeguards required by applicable law and our provider arrangements.
We use access controls, authenticated service requests and encrypted network connections to protect information. No storage or transmission system can be guaranteed completely secure. Keep your account credentials confidential and tell us promptly if you suspect unauthorized access.
Retention and deletion
We retain account information while it is needed to provide your account and the service. Workplace records are retained according to the organization’s legitimate operational needs and applicable obligations. Billing, fraud-prevention and security records may need to be retained after an account closes where a specific legal obligation or legitimate need applies. We do not retain information indefinitely merely because it is available.
When information is no longer needed, it should be deleted or anonymized. Backup copies and records subject to a legal hold may not be removed at the same time as live account data. When you request deletion, we will explain any information that must be retained, why it is retained and the applicable retention period.
You can request account deletion from the profile area of the app or by emailing [email protected]. Organizations owned by your account must currently be resolved before the in-app deletion process can finish. Contact us if this prevents you from submitting or completing your request. Deleting an account does not itself cancel an Apple or Google subscription. See the account-deletion page for instructions.
Your choices and rights
Depending on applicable law, you may request access to personal information, correction of inaccurate information, deletion, or objection to particular processing. You can withdraw consent for processing that depends on consent, without changing the lawfulness of earlier processing. Device permission settings provide additional controls.
Send requests to [email protected]. We may need proportionate information to verify that you are the account holder. Do not send passwords, full payment-card details or unnecessary identity documents. For records controlled by your organization, we may direct the request to that organization or work with it to respond.
You may also raise a concern with Ghana’s Data Protection Commission. Its website is https://dataprotection.org.gh/for-individuals/. This does not prevent you from exercising rights available under other applicable laws.
Children
IRRIVO is designed for workplace and personal scheduling, not as a service directed at children. If you believe a child has provided information without appropriate authorization, contact us so we can investigate and take appropriate action. Organizations are responsible for assessing whether their users may lawfully use their workplace services.
Changes and contact
We may update this policy when the service or its data practices change. We will identify the effective date of the current policy and provide additional notice of material changes where required.
